Pazin Public Fire Brigade – Arrangement of the Records Office and production of the relevant documentation: an example from practice

The Pazin Public Fire Brigade was established on 1 March 1 2000 following the “Agreement on the Establishment of the Pazin Public Fire Brigade” (Official Gazette of the Town of Pazin, Nos. 1/00 and 16/02) by the Town of Pazin and the Municipalities of Cerovlje, Lupoglav, Motovun, Tinjan, Karojba and Sv. Petar u Šumi as a public institution, pursuant to the Fire Act (OG No. 106/99) and the Institutions Act (OG Nos. 76/93 and 29/97). The Pazin Public Fire Brigade was established as the successor of two fire brigades, the Pazin Fire Squad and the Pazin Fire Brigade. Since they had both been operating since 1970, the Pazin Public Fire Brigade started arranging its records office in cooperation with the State Archives in Pazin pursuant to the “Contract” dated 10 April 2018. Following a professional processing of the archives, it was established that, between the years 1970 and 2017, the creators left 21.10 linear meters of records, of which 4.71 linear meters permanent records (technically equipped in archive boxes), while there are 8.037 linear meters of material with retention periods (left in the binders) and 8.353 linear meters of material was proposed for weeding. After the Pazin Public Fire Brigade submitted their “Proposal for the weeding of archives” with the “List of records proposed for weeding”, the State Archives in Pazin issued a decision approving the weeding and destruction of current records, which was done by the Pazin Public Fire Brigade in the prescribed manner. The process of weeding of records enables the disposal of unnecessary files, which relieves the record office from the accumulation of material and the biggest problem that all records offices face - the lack of storage space.
